🌎 Maritime Optima Pro is a data and knowledge driven maritime software empowering you and your colleagues to work from anywhere.
Note: Maritime Optima Vessel Exchange is only available on web.
You can see all the vessels you sent the information about in the Vessel Exchange in Maritime Optima Vessel Center (left menu). If you just started to work with Vessel Exchange, then this folder is empty. Later you will see vessels with "work in progress" there.
How to send a request for assistance to your colleague
You can start with choosing the vessel. Find the vessel you need in the Vessel Center or right on the map - either click on it with a segment layer on or search in the search field in the upper right corner of your screen.
Once you found the vessel you need, you can start working with Vessel Exchange.
Click on the vessel. You will see its technical description. Then go to Private Information and choose Vessel Exchange tab:
The idea of Vessel Exchange is sharing and receiving information about the vessel. It may be ownership, insurance info, technical details or other. In other words, in Vessel Exchange you can send a section (or several sections) of a private questionnaire and ask your colleague to fill it.
You can change the information only if you create a Private questionnaire first.
Click on "Get started" button.
Add some alterations in the questionnaire if you wish
Click on "Send questionnaire" in the bottom right corner
Select the sections in the questionnaire you would like to send (you can select several sections)
Type the e-mail address of the receiver of your request
Toggle on "Request the recipient to fill in and send back" if you want him/her to reply to you request. If you only want to send some information and don't need any reply, don't toggle this on.
You can add a message to the receiver (the message will be visible in the receivers e-mail)
Click "Send" button in the bottom right corner.
After you sent a request, you will find your conversations saved in the Vessel exchange. Just select Private Information and Vessel Exchange tab again, and you will see your conversations listed below.
You can click on "Open" and see, that since the receiver has not yet sent a reply, the sections are still empty.
The receiver will get an e-mail with a link to log into Maritime Optima Pro.
Click Private Information / Team Activity to see the history of all your activities:
How to fill in the request you received
Open the mail you have received and click on the link:
On the next page select "Open":
You can log in now, using either the account you already have (if the message was sent to the same address you use in Maritime Optima Pro), or create a new one.
First click on the message under the vessel technical description.
Here you may check what the sender has sent you.
Received = The information sections you have received from a sender.
Private questionnaire = what you have saved as a private questionnaire. If this is the first time you are using Maritime Optima Pro, your private questionnaire is a copy of the public questionnaire.
Compare and reply = here you can fill in the new data you were asked for (if you got a request for filling the questionnaire).
If you just got the updated info to check, then you will see it here as well. The changes will be highlighted.
When you done with adding the information, select "Send", add a message if you want to, and then click "Reply and send". Your answer will be sent to the recipient.
Your private questionnaire will then also be updated, and you will see this questionnaire in the Vessel Exchange folder in Vessel Center.
Since you now have created a user in Maritime Optima, you can send sections of the questionnaire of any vessel to any persons you want.
How to save the technical information you received
Once your colleague fills in the required fields, you will receive a notification to your mail box. Open the e-mail you have received, and follow the link:
Click the "Open" button on the left side.
On the next page you will find a vessel sheet with technical description and messages. Click on the conversation with your recipient, and you will be able to read their response:
Click "Open" to view the changes.
And again, the information here is divided into three categories:
Received is the new data you have got.
Private questionnaire is your existing private questionnaire.
Compare and save - here you can find the changes between your private questionnaire and the new updated information.
The updated information will be highlighted. You can reject some changes by clicking on "x" sign near the text field.
Then click on "Save Changes", and your private questionnaire will be updated with new data.
